How to connect your Google Calendar as a coach
Learn how to sync your Google Calendar with the platform so your sessions automatically appear on your calendar and your availability is synced.

Overview
Use this guide to connect your Google Calendar. This will sync your tutoring sessions to your calendar and help manage your availability.
Before you start
- You are logged in as a coach.
- You have a Google account with Google Calendar enabled.
Steps
- 1Go to login
Sign in as a coach
Use your coach account credentials to access the dashboard.

Open Preferences
Click on your profile in the sidebar, then select Preferences to access your settings.

Find Calendar Integration
Scroll to the Calendar Integration or Google Calendar section in your settings.

Click Connect Google Calendar
Click the Connect Google Calendar button to begin the authorization process.

Authorize the connection
Sign in with your Google account and grant the necessary permissions for calendar access.

Confirm the connection
Once authorized, you'll be redirected back to the platform with your Google Calendar connected. Your calendar will now sync automatically.

What Gets Synced
Once connected, all your Gigpie tutoring sessions automatically appear as events on your Google Calendar. Each calendar event includes the session title, student name, session duration, and meeting link if you've added one. This means you can see your teaching schedule alongside your personal appointments in one unified calendar view.
The integration also reads your Google Calendar to determine when you're available for new sessions. If you block time on Google Calendar for personal appointments, meetings, or other commitments, Gigpie knows not to allow scheduling during those times. This prevents double-booking and helps you maintain a healthy work-life balance.
Managing Calendar Permissions
When you authorize the Google Calendar connection, you grant Gigpie permission to read your calendar events and write new events for your tutoring sessions. The platform only accesses calendar data necessary for scheduling and does not read the contents of your personal appointments or share your calendar information with anyone else.
You can disconnect your Google Calendar at any time from the same preferences page where you connected it. Disconnecting stops future sync activity but does not delete events that were already created. If you reconnect later, syncing resumes from that point forward.
Troubleshooting Common Issues
If sessions aren't appearing on your Google Calendar after connecting, try refreshing both the Gigpie platform and your Google Calendar. Calendar sync usually happens within a few minutes, but occasionally may take longer depending on Google's systems.
Make sure you're connecting the correct Google account, especially if you have multiple accounts. The calendar integration connects to whichever Google account you use during the authorization step. If you need to switch to a different Google account, disconnect the current connection and reconnect using your preferred account.
Some coaches report issues if they use Google Workspace accounts with restricted permissions. Check with your organization's IT administrator to ensure your account has permission to integrate with third-party applications. Most personal Google accounts and standard Workspace accounts work without any special configuration.
